An AI receptionist is not simply a voicemail box that talks. Set up well, it can handle parts of a customer conversation and trigger the next step in your business.
The important words are “set up well”. What it should do depends on your customers, your systems and the conversations your team actually receives.
Common jobs an AI receptionist can handle

- Respond outside normal business hours.
- Answer approved frequently asked questions.
- Collect names, contact details and enquiry information.
- Ask qualifying questions before passing a lead to your team.

What should it not do?
Good AI design includes boundaries. An AI receptionist should not pretend to know something it does not know, make commitments it has not been authorised to make or handle conversations that genuinely need human judgement.
Businesses in regulated or sensitive industries may need additional controls around the information collected, advice given and records created. The right answer is not to automate everything. It is to decide deliberately what AI can handle and where a person takes over.

Write down the ten most common reasons customers call you. For each one, ask: Can this be answered safely and consistently? What information do we need? What should happen next? When must a person take over?
If those answers are clear, you are in a much better position to decide whether an AI receptionist will genuinely improve the business.
