Start by asking, “What work in this business should not be this hard?”
That difference matters. New tools are easy to buy. Useful change is harder. A business can end up paying for several AI products and still have the same missed calls, manual follow-up, duplicated data and owner bottlenecks it had before.
AI adoption is growing, but that does not mean you are behind
Australian Bureau of Statistics data for 2024–25 reported that 12% of businesses used AI, up from 1% in 2022–23. Adoption was higher among innovation-active businesses. The important point for a small business owner is not to race everyone else. It is to find applications that produce value in your own business.

Look for these five signals
- Work is repeated every day or every week.
- Customers wait because nobody is available to respond.
- Information is copied manually between systems.
- Growth automatically seems to require another salary.
- Important tasks depend on the owner remembering or personally stepping in.
Then put a value beside the problem
How many hours does it consume? How often does it happen? What does that time cost? Does it delay revenue? Does it create a poor customer experience? Does it stop the owner or team doing higher-value work?
You do not need a perfect ROI model. You need enough information to distinguish an annoying task from a commercially meaningful problem.
Choose the simplest useful solution
Sometimes AI is the answer. Sometimes basic automation is better. Sometimes your existing software already has a feature you are not using. Sometimes the process itself needs fixing before any technology is added.
